Recordkeeping is the backbone of organized Early Intervention operations. A strong recordkeeping system allows the agency to retrieve documents quickly, respond to reviews, support billing, maintain continuity when staffing changes occur, and demonstrate that required actions were completed. Every required record should be stored in the approved system or workflow designated by the organization.

Before uploading any document, staff should confirm that it belongs to the correct child file, is complete, legible, and signed where required. The correct document category should be selected, and any required naming convention should be followed consistently. Errors such as wrong-child uploads, duplicate uploads, incomplete files, or unreadable scans create confusion, delay review, and increase compliance risk.

Records should be organized logically and chronologically. This helps staff retrieve information efficiently and helps supervisors or auditors understand the case history without piecing together scattered materials. Staff should not rely on personal devices, personal email, or unauthorized cloud storage for records that contain protected information.

Confidentiality is central to recordkeeping. Only authorized personnel with a legitimate work-related need should access child records. Printed materials should be secured.
